How Tone Adjustment Works
How Tone Adjustment Works in Roopi
Roopi doesn’t just send reminders—it talks like a human would. That means the way it communicates changes over time depending on the situation. This is powered by Roopi’s AI Tone System, which adapts the tone of each message to help you get paid—without sounding robotic or aggressive.
🎯 The 3 Tones Roopi Uses
Roopi adjusts its tone along three levels:
Friendly Used for early-stage reminders and first follow-ups. These messages are warm, polite, and casual—like a helpful nudge.
Direct When the invoice is past due or hasn’t gotten a response, Roopi becomes more assertive while still being respectful. It gets straight to the point without being rude.
Firm If the debtor continues to delay or ignore reminders, Roopi uses firmer language. It reminds them of the obligation and emphasizes urgency—without threats or hostility.
🧠 When the Tone Changes
Roopi automatically decides when to shift tone based on:
How overdue the invoice is
Whether the debtor has replied or not
Past behavior or known payment patterns
If the debtor promised to pay but didn’t
You don’t need to manually adjust anything—Roopi handles this for you. But if you ever want to pause follow-ups or respond differently, you can do that from the Alerts or Messages tab.
👀 Need More Control?
If Roopi flags a situation that might require your input (like a confusing reply or dispute), you’ll see it in the Alerts tab. You can guide how Roopi proceeds from there.
